Scheduling System for Ha’Meorer – Education Center
The system was created to simplify the assignment of employees to workshops across various locations, streamlining the scheduling process and improving efficiency.

This project shows how I created a simple system to streamline scheduling, save time, and enhance the user experience.

Project Background

Before the system, Ha’Meorer faced challenges with manual scheduling, leading to conflicts, resource inefficiencies, and poor communication between employees and participants.

There was a clear need for a centralized system to automate scheduling, improve organization, and create a smoother experience for everyone involved.

User Research

To understand the needs of guides and managers, I conducted user research. Interviews revealed challenges like finding workshop slots, managing availability, and tracking updates.

Design Process

By adopting a user-centered approach, we went through multiple iterations of ideation, wireframing, prototyping, and testing.
Feedback from employees and stakeholders helped refine the system’s features.

The scheduling system incorporates a variety of features aimed at improving the efficiency of the educational center.

Workshop Schedule

Employees can seamlessly view available time slots and book workshops based on their availability and areas of expertise.

Filter Workshop

The system enables filtering of workshops by employee expertise, location, dates, hours, and more, ensuring a customized experience for each user.

Workshop Information

Employees can access detailed workshop information, including additional staff, attached files, and receive real-time notifications for any updates or changes.

Mobile-Responsive Design

The system is fully optimized for mobile use, enabling both employees and managers to manage their schedules efficiently while on the go.

Reminders & Notifications

Employees receive calendar invitations via email after booking a workshop. In addition, automated reminders are sent before the workshop, minimizing no-shows and facilitating improved planning and coordination.

Managers can track the overall schedule, identify workshops requiring additional staff, and send them a list of available workshops to join.

Design Considerations

During the design process, several considerations were prioritized to enhance the user experience and overall system usability. These considerations included:

  • Intuitive interface: The system’s interface was designed to be user-friendly, ensuring easy navigation and a clear understanding of available options.
  • Mobile responsiveness: The system was optimized for mobile devices, allowing education guides and participants to access and manage their schedules on-the-go.
  • Accessibility: The design adhered to accessibility guidelines, ensuring that individuals with diverse abilities could use the system effectively.

Implementation & Results

The scheduling system was successfully integrated into Ha’meorer – Education Center.
User feedback has been highly positive, highlighting the following outcomes:

  • Increased Efficiency: The system reduced time spent on manual scheduling, allowing employees to focus on delivering high-quality workshops.

This project offered valuable professional and personal growth opportunities. Collaborating closely with Ha’meorer and the development team provided insights that have shaped my approach to product design. Key takeaways include:
